Formula

Appetizers = Guests x Pieces/Person/Hour x Hours | Dinner = Guests x Lbs/Person by Category

Party food quantities are calculated based on per-person portions: 6 appetizer pieces per person per hour, 0.5 lbs protein per person, 0.33 lbs sides per person, and 0.25 lbs salad per person for dinner. Drinks are estimated at 1.5 per person per hour. Dietary restriction percentage determines how much alternative food to prepare.

Frequently Asked Questions

How much food do I need per person for a party?

For appetizer-only events, plan 6-8 pieces per person per hour. For dinner, plan approximately 1/2 pound of protein, 1/3 pound of side dishes, and 1/4 pound of salad per person. If serving both appetizers and dinner, reduce appetizers to 4-5 pieces per person for the first 1-2 hours before dinner. For a 4-hour party with dinner, plan about 1.5-2 pounds of total food per person. It's better to have 10-15% extra than to run out — leftovers can be packaged as take-home treats.

How many appetizers do I need for a party?

For cocktail-hour appetizers before dinner: 4-6 pieces per person for 1 hour. For appetizer-only events: 8-12 pieces per person for a 2-3 hour party. Offer 4-6 different varieties for variety. A good mix is 3 hot appetizers and 3 cold appetizers. Popular choices include chicken wings (4-6 per person), sliders (2-3 per person), meatballs (3-4 per person), and a vegetable/cheese display. For events longer than 3 hours, add 3-4 pieces per person per additional hour.

How much food should I plan per person for a party or event?

As a general planning rule, budget about 1 to 1.5 pounds of food per adult for a full meal (less for an appetizer-only gathering, more if teens or heavy eaters are attending), and plan roughly 1.5 to 2 drinks per person per hour for events serving alcohol. For finger-food or cocktail-style events, 6 to 8 appetizer pieces per guest over a 2-hour window is typical. Always round up rather than down for food quantities — running slightly short is far more noticeable to guests than having modest leftovers, and dishes with mixed dietary needs (vegetarian, gluten-free) should be planned as a percentage of the guest list rather than an afterthought.
